Step 1: Case Type

A case can relate to either a company, or to an individual. It is here that this option is set, and the corresponding array of options is displayed, allowing the user to define the details of the company or individual.

The Case Type step of case creation involves the user determining both the category of the new case, and the office to which it will be assigned. This is important, as many aspects of the manner in which the iinsight system will handle the case are determined by the category. By assigning a suitable category much of the case management process can be greatly simplified through the use of pre-generated document templates and pre-configured billing options.

Selecting the template and letterhead will dictate to the iinsight system the manner in which documents should be formatted when they are automatically generated and filled with the relevant case information

To create a company case, select 'Company' from the left-hand checkbox. Once the user has entered the company name in the very first field on the right-hand side, the iinsight system will check for any prior records matching this name. If any records are found, the prior contacts from this organisation will be listed and can be selected as the contact within the company for the case that is currently being created.

If no contacts are found for the entered company name, or if the relevant contact has not previously been entered then the user can fill the company contact fields on the right-hand side to create a new contact and store the entered information.

It is at this point in time that the user can select the 'Bill direct to Company' option, which will direct the iinsight system to process all billing to the company entered during this step.

To create an individual case, select 'A Person/Individual' from the left-hand checkbox. As in the circumstance of a company case, the user will be able to provide the client's name, contact details and other relevant information. At this point the user will also be able to specify the nature of the client's condition, the cause and date on which the injury or other problem initially occurred. Selecting the 'Bill direct to Client' option will direct the iinsight system to process all billing directly to the individual entered during this step.

  • Business Division

Specifies the office or department of the organisation which is responsible for handling the case.

  • Service Contract

Determines the potential requirements of the new case, as well as the available activity and item cost resources that can be used to fulfil the case requirement.

  • Invoice Template

Determines the template format that will be used for invoices associated with the new case.

  • Invoice Letterhead

Determines the letterhead format that will be used for documents associated with the new case.

  • Case Type Checkboxes

Determines whether the client for the new case will be for a company, or an individual client.

Personal/Individual Case

The following fields relate to an Individual Case:

  • Title

The title, or salutation, of the new case client.

  • First Name

The first name of the new case client.

  • Last Name

The surname of the new case client.

  • Address, Suburb, State and Postcode

The postal address of the new case client.

  • Phone 1

The primary contact telephone number for the new case client.

  • Phone 2

The secondary contact telephone number for the new case client.

  • Fax

The contact fax number for the new case client.

  • Mobile

The mobile telephone number of the new case client.

  • Email.

The contact email address of the new case client. If you require a second email for this contact then add that into the notes section; note with 'additional email'.

  • Type of claim

This can be either a Primary Physical Claim or Primary Psychological Claim or both.

  • Nature of Injury

The injury or problem for which the client has been referred.

  • Cause

The cause of the condition for which the client has been referred.

  • Occurred.

The date on which the client's condition occurred, or in the circumstance of a slowly manifesting condition, the date on which it became sufficiently serious to warrant referral.

  • DOB

The date of the client's birth.

  • Bill Direct to Client

Client will be the "Bill to".

Company Case

When creating a company case rather than an individual client case some options presented by the new case wizard will differ. Where these vary, they have been highlighted and explained below:

  • Company

The name of the company which will serve as the new case client.

  • Contacts

When the Company field has been entered the Iinsight system will immediately check its records for any prior contacts. If any are found, they will be listed in the Contacts drop-down. Clicking on of these contacts will populate the Contact Details fields with the selected contact's information.

  • The 'Clear' Button

Clears all of the Contact Details fields and de-selects any contact chosen in the 'Contacts' field.

  • Company

The second Company field is slightly different from the first in that it relates directly to the individual who is to serve as the case contact. For example, a case may be opened for 'Company A', but the contact for the case itself may be an individual whose affiliation is with 'Company B'.

  • Title

The title, or salutation, of the individual who will serve as the new case contact.

  • First Name

The first name of the individual who will serve as the new case contact.

  • Last Name

The surname of the individual who will serve as the new case contact.

  • Services Provided to

The name for the group or department within the company that is responsible for the "service".

  • Position

The position of the individual who will serve as the case contact within their company.

  • Department

The department of the individual who will serve as the case contact within their company.

  • Business Division

The division of the contacts company with which they are affiliated - business divisions can be based on geographic boundaries, business departments and different services offered by the single organisation.

  • Address, Suburb, State, Postcode

The postal address of the individual who will serve as the case contact. Typically this will also be the address of the company with which they are affiliated.

  • Email

The contact email address of the individual who will serve as the case contact. If a secondary email is required this can be added in the notes section; note 'additional email'.

  • Phone 1

The primary contact telephone number of the individual who will serve as the case contact.

  • Phone 2

The secondary contact telephone number of the individual who will serve as the case contact.

  • Fax

The fax number of the individual who will serve as the case contact.

  • Mobile

The mobile telephone of the individual who will serve as the case contact.

  • Job Title

The job title of the individual who will serve as the case contact. This is primarily used to ensure that automatically generated documentation contains accurate content.

  • Case Notes

Notes related to the case itself will be stored permanently alongside the case entry.

  • Bill Direct to Company

The Company should also be the "Bill to".
