New SMTP Connection
We're excited to announce the release of iinsight v6.8.4, marking a significant advancement in simplifying SMTP connections with 2-factor authentication.
This latest update offers a straightforward approach to integrating SMTP connections while maintaining advanced authentication protocols with your email service provider.
To establish the connection, Your IT department needs to sign in to your Azure Portal, browse to Microsoft Entra ID>Properties, Scroll down to the Tenant ID section and you can find your Tenant ID in the box.
Please add the Tenant ID on Menu > Security > Microsoft Integrations > Tenant. If a Tenant ID already exists kindly remove the ID and replace it with your Tenant ID.
Please Note: The Email from Address being used needs to have a licensed Microsoft Account.
Note:- An Admin user will need to perform this connection and it needs to be approved in the Azure portal.
OAuth2 Authentication for Email Invoices
There is now a much easier authentication method available to make emailing out your Invoices a much quicker process – this is called “OAuth2.”
Please go to Options> Security> Email Settings as below:
Click on the “Email Provider” dropdown menu and select either “Microsoft” (as above) or “Azure” (as below):
Then please enter your Email in the “Email From” field and click on the “Connect” Button - after successfully connecting, the Status will be changed to “Connected” as above.
Note: Under the "Email provider" dropdown, please connect SMTP by selecting Azure (for Enterprise/Business Accounts) or Microsoft (for Personal Accounts) as per the Terminology used by Microsoft for Outlook.
Ensure that the “Enable MS Word financial templates” checkbox is enabled via the Options > Financial settings > General tab as below:
Sending Bulk Emails
After setting up “OAuth 2.0” with iinsight, to send out “Bulk email” transactions, please go to the Finance Menu > Emailed Transactions tab and select multiple emails by clicking on the “Selected” checkboxes and clicking on “Send” (you can check them first by selecting the “Details” button)
Click “Yes” on the Send selected emails pop-up
A Green Envelope will appear after all the selected Emails are successfully sent
Sending Individual Emails
To send out individual emails please go to the Case List > Accounts Tab and select any type of transaction (Invoice, Payment, Refund, and Adjustment) and click on the “Send Email” button:
On the Send Email window, Enter the details in the following fields and send the Email
After the Email is sent, the Green Envelope will appear as the status that the invoice is sent
If the Email is not sent, it will show a Red Envelope in the “Email sent” column
If any email is not sent, you can select the “Discard Email” or “Retry Emailing” buttons as below:
After Discarding any email the Red Envelope icon will disappear and the filled details (To and CC will be cleared as well)
Reason an email may fail to send
A Body is mandatory to send an email. To prevent spam emails, Microsoft doesn't allow messages to be sent without a body.
An email sent without a body will need to be discarded first and sent again with a body and Subject.
Another possible reason an email will not be sent is if the template is not mapped or simply if you're not able to print a template (Invoice, Refund, Payment, and Adjustment)
User level "Authenticated SMTP"
A contributory thing to note while connecting to SMTP is that the user selected for sending email needs specific permission i.e. Authenticated SMTP setting should be ticked for that user from the Azure portal and click the back arrow to save the settings as shown in the below screenshot.
"Authenticated SMTP" needs to be enabled on the user account that is being linked to send the email if an "Azure" account.
This is accessed via the Microsoft 365 admin center in the Users > Active Users area. Direct link below:
https://admin.microsoft.com/Adminportal/Home?#/users
In this area please click the user in the table and this will open a pop-up window to the right.
In this window, the setting can be found by going to the Mail tab and clicking Manage email apps
Enable the permission "Authenticated SMTP"
Please Note: The above Authenticated SMTP connection will also require Two-Factor Authentication to be enabled.
Kindly ensure you have removed the data from the Legacy SMTP connection.
Should you be connected and still have the issue sending the invoices, please log in to the connected Outlook account on the same browser that iinsight is opened on, and send a test email to a valid email address. Once this action is performed, you should now be able to send invoice emails individually or in Bulk within iinsight.
Please Note: The Email from the Address being used needs to have a licensed Microsoft Account.
