New Feature Release: 'Group by Bill To' Invoicing Enhancements
We’re thrilled to introduce a range of improvements that make it easier to prepare invoices covering multiple cases for a single Bill To entity. These updates bring the 'Group by Bill To' invoice templates and functions, in line with the rest of the iinsight® invoicing system - giving you more control over how data is grouped and presented.
What’s New
1. New 'Invoice (Grouped by Bill To)' Template
When creating a finance template you’ll now see Invoice (Grouped by Bill To) as an option:
This template links into the Quicklinks > Invoice Wizard > Group invoices by bill to invoicing function - where it consolidates costs from multiple cases into a single invoice for the same Bill To contact, allowing you to send one clear statement instead of several separate invoices:
All the familiar fields you use in standard invoice templates remain available, and variables that pull information from several cases now display multiple values separated by commas (e.g., multiple case numbers or assigned practitioners).
2. Flexible Grouping Options
To help you control how your invoice table is summarised, three new grouping options are available when using the Grouped by Bill To invoice template:
Case & Invoice Range
combines all costs for the same case into one line.Case, Charge Code & Invoice Range
groups costs by case and charge code.Case, Description & Invoice Range
groups costs by case, charge code and description.
These options appear only on Group by Bill To invoices, so you won’t see them on your standard invoices.
3. Alignment with MS Word Invoice Templates
Group by Bill To invoices now use the same MS Word template system that powers standard invoices. If your organisation has enabled MS Word financial templates, you can design your Group by Bill To invoices using Word and benefit from consistent styling across all your invoices. The older HTML‑based grouped invoice template is retired automatically when the MS Word template option is enabled.
4. Easy Template Selection
Administrators can now set a system wide default Grouped by Bill To invoice template in the Options > Financial Settings > General tab:
You can also select a specific template for each Company in the Companies > Company Details area. Allowing you to tailor the layout and branding for different clients where required:
5. Print and Email Directly from the Case List
Previously, Group by Bill To invoices could not be printed or emailed directly from the Case List > Accounts tab. That limitation has been removed so you can now:
Print a grouped invoice straight from the Accounts tab, just like any other invoice.
Send Email to deliver the grouped invoice electronically - using your newly created Invoice (Grouped by Bill To) email templates.
6. Enhanced Permissions
Two new user permissions help your administrators control who can print or email Group by Bill To invoices. These permissions are off by default so you can decide which team members should have access.
Can Print Grouped by Bill To Invoices
Allows the user to print grouped invoices from Case List > Accounts. If disabled, the Print button is disabled for Group by Bill To invoices.
Can email Grouped by Bill To Invoices
Allows the user to send grouped invoices via email. If disabled, the Send Email button is disabled for Group by Bill To invoices.
7. Sync with Xero & QuickBooks
Group by Bill To invoices are now included in the iinsight® integrations with Xero and QuickBooks, meaning consolidated Group by Bill To invoices will now appear in your external accounting platform, keeping your records consistent across systems.
8. Invoice Prefix & Numbering Improvements
Previously, Grouped by Bill To invoices used their own 'INV' prefix and independent numbering sequence. With this release, Grouped by Bill To invoices now follow the same prefix and numbering rules as your standard invoices, aligned to your platform Business Divisions. This ensures a consistent numbering format across all invoices and simplifies reconciliation in external accounting systems.
No Disruption to Your Existing Setup
If you already use Group by Bill To invoices (and have the MS Word invoice templates already enabled), you will just need to make sure that your new Invoice Grouped by Bill To templates are created and assigned before your next invoice run. Don't worry we know who you are and a member of our support team will be in contact to assist!
If you don’t use Group by Bill To invoices, you don’t need to do anything - the standard invoice templates and processes continue to work exactly as before! The new features are optional, simply create your Invoice (Group by Bill To) template and select the Group invoice by bill to option in the Invoice Wizard if you ever want to start consolidating cases into a single invoice.
