The 'Company Details' and 'Company Contacts' tabs are located in the right-hand pane of the 'Companies' interface and allow the user to view and edit all of the information associated with companies and the contacts within these organisations.
The Company Details tab allows the user to view and edit basic information associated with the selected company including ABN, address, contact and banking details. Also available are notes associated with the selected company in order to provide a means of storing related information.
The 'Company Contacts' tab allows the user to view, edit and delete contacts associated with the selected company through the use of the interface controls detailed below.
The 'New' Button | Used to open the New Contact wizard to create a new contact associated with the selected company, to be stored in the Iinsight system. |
The 'Delete' Button | Used to delete the contact that is currently selected in the list. |
The 'Edit' Button | Used to edit the currently selected contact. The edit contact interface can also be used to disable the selected contact - this can be useful if the contact should be temporarily disabled, but should not be deleted. |
The Search Interface | Comprised of the 'Search Terms Box', the 'Condition Filter Drop-Down' and the 'Find' button, these three interface controls are used together to determine a specific criteria and filter the entire contact list according to this condition. |
The 'Fields Edit' Button | This button is used to determine the fields displayed for each case currently shown in the contact list. |
All company searches are conducted this way.
Merging Companies
To Merge Companies, go to the Company List, select the company you wish to merge and click the Merge button as per the below example:
When the Merge button is selected you get the below message "Select the Companies you would like to Merge":
In the case you are looking for a company specifically, you may type the name of the company you would like to merge in the search field as per the below example:
Click on the Company name and then select Merge.
A message appears advising you are going to Merge companies as below:
Select OK and then Close.
The Companies should now be merged and their Contacts are now merged into one company contact list as below:
Note: The company you first select before clicking the Merge button will be the primary company which will overwrite the company details you select after. All contacts will be kept and merged into the same contacts list (check for duplicates).
Merging Duplicate Contacts
To disable duplicate contacts in the Company Contacts tab in the Company List use the Merge button (found in the Company Contacts tab) which disables duplicate contacts quickly.
In the Companies Tab > Company contacts, select the contact you wish to keep as the primary and click the Merge button as per the below example:
In the above example there are some duplicate contacts - If you select the Merge button you will get a screen that will allow you to select duplicate contacts as follows:
Confirm that this is the contact you wish to Merge and click OK:
By pressing the Merge button you see that the duplicate contacts have been disabled (in red) as below:
Duplicate contacts are disabled. In all cases where the bill to, referrer or employer is a duplicate contact, this contact will be replaced by the contact that was selected first when you began the contact merge process.
Each invoice has its own bill to contact. Therefore, changing the case’s bill to doesn’t change the Invoice’s bill to contact. Invoice contacts are not replaced by this feature and past invoices aren’t affected.
Export Companies and Contacts to Excel File
There is an option to export the company list to an excel file as below:
The exported file can be found through the message center in the Saved Report table.
Company Contact List Edit
Select a Company from the Company List, on the right-hand panel click the Company Contacts tab, select a contact name, and click Edit...
This allows you to edit a contact and you can also view all the cases this contact is associated with on the right-hand side under ‘Related Cases’:
